Export a report as an Excel file
Follow these steps to create an export:
Go to the Reports section.
Set the filters you want (e.g., by training year, job, or entity) to narrow down your selection of trainees.
Click the three-dot menu in the top right of the overview.
Select Export as XLSX.
The export can take a few minutes. Once it's ready, you'll receive an email with a download link.
Important:
Link validity: For security and privacy reasons, the download link in the email is valid for 7 days. Save the file locally if you want to archive it permanently.
Maximum size: An export can include a maximum of 2,500 trainees. If your group is larger, use the filters in Reports to adjust your selection.
Data freshness: Exports use the same aggregated data as the Reports overview in the app. The data can be up to 24 hours old.
Structure of the Excel workbook
The downloaded file contains three sheets that present your data clearly:
Table: Overview of the sheets in the export file
Sheet | Contents & details |
Overview | Contains one row per trainee with name, email, job, training year, number of learning plans, overall progress, understanding (star distribution), test results, and last activity. |
Details | Shows detailed progress per trainee and topic, including star rating and date of last learning. |
Info | Documents the data freshness, the filters applied, the export date, and a legend explaining the star ratings. |
Tip: The file has a neutral design without brand colors and automatically adjusts to A4 landscape format when printed. This makes the export ideal as proof for management, funding bodies, or chamber of commerce (IHK) exams.
