Why are notifications important?
The automated emails address three key challenges in the learning process:
Visibility: Every new assignment lands directly in the inbox, including a deep link to get started right away.
Time management: Trainees are proactively reminded of upcoming or already passed deadlines.
Relief for trainers: Trainers no longer need to send manual reminders, since the system handles the process completely.
The two types of notifications
We distinguish between the initial notice when something is assigned and the reminders that follow.
1. Assignment notification
As soon as a new learning plan or test is assigned to a trainee, they immediately receive an email with all the important details.
Content: Title of the learning plan, number of topics, estimated time required, and the target date.
Special feature: Because this is essential information about a learning requirement, this notification can't be unsubscribed from.
2. Deadline reminders
These emails are sent automatically to trainees who haven't completed their learning plan 100% yet.
When reminders are sent:
Before the target date: 7 days before the deadline.
Important notes on how the system behaves
To get the most out of the notifications, please keep the following points in mind:
Feature | Details |
Unsubscribing | Trainees can unsubscribe from reminder emails (but not from assignment emails). |
Sending stops | As soon as a learning plan is 100% complete, no more reminders are sent. |
Requirement | The reminders are based on the target date you entered and the progress in simpleclub. |
Important: Make sure the target dates for learning plans are set realistically so the reminders stay relevant for your trainees.
What you can do next
Check learning plans: Check that your current learning plans have correct target dates so the automatic reminders are triggered at the right time. Currently, this only applies to the learning plan, not the test.
Inform your trainees: Let your trainees know that they'll now get helpful support by email to plan their learning progress better.
